POSITION DESCRIPTION: ADMINISTRATIVE ASSISTANT

Under limited supervision, responsible for the day-to-day operations supporting the educational mission and administration of the Green (West) Quad Learning Center. Responsibilities include assisting with educational programming related to green/environmental issues, coordinating outreach to students, promoting programs to multiple audiences, managing reservations (for resources, tours, and rooms), coordinating and hosting for events, and maintaining records of programs and usage.

Essential Functions

1. Assist with educational programming, including participating in program development and planning and conducting outreach to students and other audiences.

2. Provide administrative support for the Learning Center, including being the primary person to answer all phone calls, reception, correspondence.

3. Promote the programs of the Learning Center to multiple audiences, including students, university faculty and staff, and the community. Provide accurate information with excellent communication skills. Develop print and electronic sources of information about programs, including newsletters, recruiting materials, and the website.

4. Manage reservations for rooms, equipment, and tours. Coordinate and host events. Conduct outreach consistent with mission of the Center.

5. Conduct all business activities associated with fiscal management and supply services. Maintain databases and records of expenditures and reimbursements. Manage inventory and supplies.

6. Coordinate uses of Center with campus partners in Facilities, Housing, Maintenance, Custodial, Conferences, and Parking.

7. Maintain accurate records of Learning Center programs and usage.

Non-essential Functions:

Perform other duties as assigned.

Supervisory Responsibilities:

Coordinate with student assistants to cover evening schedule and special events.

Knowledge/Skills/Expertise Required:

Requires a bachelor’s degree and one year of related experience or high school degree and 5 years related experience; strong oral and written communication skills; strong organizational skills; and ability to work independently. Should have commitment to excellence, teamwork within a diverse environment, and working well with the public. Knowledge and experience related to environmental programs and issues is a plus.

Mental Demands Required:

Needs ability to work on multiple, concurrent tasks with frequent interruptions.

Physical Demands Required:

Some evening and weekend work is required. Attendance, walking, driving, sitting, typing, speaking. Exposure to: computer screens and noise.
